Vending route profit tracker
Every feature, from the first launch.
No account, no login, no cloud. Everything runs on your device and works fully offline — nothing in this post is hidden behind a wall.
What Vendbook does
You bought the machines. You drive the route. But do you actually know which machine is making you money — and which one quietly died two weeks ago?
Vendbook is the offline ledger built for small vending operators: one to twenty machines, serviced on weekends, cash collected by hand. No telemetry hardware, no cloud account, no monthly fee. Open the app at the machine, log what you pulled and what you restocked, and drive to the next stop.
A visit takes under a minute to record: cash collected, items loaded, a quick note if the coin mech is acting up. Vendbook turns that history into a per-machine monthly profit statement — revenue, product cost, location commission, and net — so you can finally answer the question every operator asks: is the laundromat combo worth the drive, or should that machine move?
The feature that pays for itself is the baseline flag. Vendbook learns each machine's normal daily take from its own visit history. When a collection comes in well below that baseline, the machine gets flagged on your dashboard — so a bill validator jam, a moved machine, or a dying location surfaces on your very next glance instead of three service cycles later. Operators lose real money to silent revenue drops; Vendbook makes them loud.
Your product catalog lives in the app too. Set a cost and a vend price once per product, and every restock line automatically carries the right margin into your P&L. When Costco raises the price of chips, change it in one place and every machine's numbers stay honest from that day forward.
Everything is designed for the field: big tap targets for a dim break room, totals that read from arm's length, and a route view that works in airplane mode because your data never leaves the phone. Month-end, export a clean CSV of collections and profit per machine for taxes.
Built for snack, soda, combo, and mini-mart operators who treat vending like a real business — because even three machines deserve real books.
• Per-machine ledger of every visit: cash collected, items restocked, notes • Monthly profit per machine: revenue, product cost, commission, net • Baseline flags that surface a machine whose take dropped vs its own history • Product catalog with cost and vend price so margins compute themselves • Route dashboard showing last visit, days since service, and flagged machines • CSV export of collections and profit for taxes and bookkeeping • 100 percent offline — no account, no subscription, no telemetry required

What's inside
- Machine Roster — Add each machine once with its location, type (snack, soda, combo, mini-mart), and commission split. The roster shows last visit, days since service, and a flag badge for any machine trending below baseline.
- Visit Logger — The core field flow: pick a machine, enter cash pulled, tap restocked products with quantities, add an optional note. Big controls sized for a dim break room; the whole log takes under a minute.
- Profit Dashboard — Per-machine monthly P&L computed from visits: revenue, product cost from restock lines, location commission, and net. A route-level rollup ranks machines from best to worst earner.
- Baseline Flags — Vendbook derives each machine's normal daily take from its own visit history and flags any collection that lands well below it — surfacing jammed validators and dying locations on the next glance instead of weeks later.
- Product Catalog — Products with unit cost and vend price, editable in one place. Every restock line snapshots the cost and price at the time of the visit so historical margins never rewrite themselves.
- Reports and Export — Month-end summaries per machine and for the whole route, exportable as CSV for taxes or a spreadsheet-loving accountant.
Why we built it
Small vending operators track restocks, cash collections, and per-machine profit in messy spreadsheets or pay $19-49+/month for desktop-first cloud VMS software, and they routinely miss a dying machine for days because nothing compares a collection against that machine's own baseline.
What makes it different
VendSoft is a $19-49+/month cloud subscription that is desktop-first, requires an account, and ships no per-machine anomaly flags; Vend-IT is pack-list software tied to Cantaloupe/Seed telemetry hardware; Vendera pitches AI monitoring for telemetry-equipped fleets — all three are priced and architected for 100-machine…
Who it's for
Operations leaders and small teams who want a tool in their workflow without buying another platform.
